We are Inspired Education Holdings Limited ("Inspired"), with company registration number 10392529 and registered office address: Sixth Floor, 3 Burlington Gardens, London, W1S 3EP. Inspired Education operates numerous schools globally and the Global Study Platform ("GSP"), along with mobile application and other applications ("the Platform"), which is made available to staff, parents and pupils across our schools. This notice explains how we collect and use your personal data on the Platform and how we use artificial intelligence tools within the Platform in a fair and transparent way.

Under applicable data protection legislation Inspired is the controller of your personal data collected via the Platform and the individual tools (including Finance hub, Parent Helper, Cycle Test, Lesson Planner and other applications we may make available from time to time) that sit within the Platform.

We collect personal data when you sign up / log in to the Platform or when data is transferred from the other systems used by Inspired and your school (e.g. Canvas and iSAMS) and combined on the Platform. We also collect data that you may choose to upload to the Platform, or that may be uploaded by a teacher or staff member.

Pupils

• Names, e-mail addresses and other contact details;
• Log-in details; school / location and language;
• Course enrolment and course details; academic information including grades, performance and feedback; timetable and attendance; rewards and conduct; school reports;
• Photograph (if you choose to provide it); voice recordings and text discussions (where you use the Platform for these purposes);
• Test responses and marks generated through the Cycle Test tool (where a teacher uses Cycle Test to set formative assessments).

Purposes for processing: To provide you with access to the Platform to enable you to use it while you are enrolled at your school (e.g. to see details of your subjects and courses, submit coursework and other assignments, complete formative assessments including those generated and marked with the assistance of AI through our Cycle Test tool and track your performance including in assessments) and to enable us to support your learning, monitor and report on your progress.

Lawful basis for processing: It is necessary for our legitimate interests in providing a system to improve your experience of education which is accessible and effective.

Parents / carers / guardians

• Names, e-mail addresses and other contact details;
• Log-in details, school / location and language; voice recordings and text discussions (where you use the Platform for these purposes);
• The content/ questions you submit via the Parent Helper chatbot tool (including any personal data you choose to include in your questions). Where the chatbot is unable to resolve your query, your question and contact details may be passed to an Inspired employee who will assist you directly.

Purposes for processing: To provide you with access to the Platform to enable you to be informed of your child's educational progress to answer your questions, (including through the Parent Helper chatbot tool, which draws on school systems, school websites, the Platform and Finance Hub to respond to common queries such as fee payment dates, exam result publication dates, school term dates and login assistance), and to support provision of services made available by the school (e.g. extra-curricular activities).

Lawful basis for processing: It is necessary for the performance of the parent contract to which you are a party and/or it is necessary for our legitimate interests in providing a system which enables you to access information including about your child's educational progress.

Staff and consultants

• Names, school e-mail addresses and other contact details;
• Log-in details, school / location and language;
• Photograph (if you choose to provide it); voice recordings and text discussions;
• Records of your use of the Cycle Test tool (including test questions generated and associated marking data) and the Lesson Planner tool (including lesson plans and resources generated).

Purposes for processing: To facilitate your access to and use of the Platform, including use of AI-assisted tools such as Cycle Test (to generate and mark assessments for classes) and Lesson Planner (to generate lesson plans and teaching resources aligned to the relevant national curriculum).

Lawful basis for processing: It is necessary for our legitimate interests in enabling our staff to deliver educational programmes in an accessible and effective manner, including through the use of AI-assisted tools that support lesson preparation and formative assessment, and deliver information relating to the education of pupils to their parents / carers.

Platform usage information

In addition, for all Platform users we collect IP address, technical data (e.g. time stamps); location information; information about the computer or device from which you access the Platform; click stream/heat map data showing utilisation of the Platform.

We or our service providers may use this data to analyse performance metrics and to monitor and track application errors and to analyse, to develop, improve, secure or optimise the use, function and performance of the Platform, to create anonymised and aggregated information and analytics. Wherever possible, we will use usage data in an aggregated and/or anonymised form. Where we process personal data for these purposes we do so in connection with our legitimate interests in providing and improving user access to the Platform.

Consent

As we explain above, it will generally be the case that we rely on lawful grounds other than consent for the processing of personal data on the Platform. There may, however, be particular GSP tools or use cases where we consider it appropriate or necessary to seek parental and/or pupil consent for the particular processing of personal data involved. In these circumstances parental consent will be sought on behalf of pupils below the age of 13 (unless applicable law specifically requires otherwise).

We share personal data collected on the Platform with other Inspired group entities, including in particular the school with which you are connected / which you attend.

We also work with a select number of trusted external service providers who support or work with us in the provision of information technology services and analytics, and may assist us in the improvement and optimisation of the Platform and the development of new tools. These third parties with whom we work are carefully selected and meet high data protection and security standards and any arrangements involving the sharing of personal data are subject to appropriate safeguards and data processing obligations. In particular, the Lesson Planner tool uses OpenAI's ChatGPT service to assist in generating lesson plan content and teaching resources. When a teacher uses the Lesson Planner, prompt data is transmitted to OpenAI for processing. The Lesson Planner is not designed to transmit personal data to OpenAI, but personal data may be transmitted incidentally if included by the teacher in their prompt or if contained in the materials from which the tool draws information. OpenAI processes this data as a sub-processor under a data processing agreement with Inspired that includes appropriate safeguards. The Parent Helper chatbot accesses information held across school-based systems, school websites, the Platform and Finance Hub in order to respond to parent queries. Where the chatbot cannot resolve a query, the query content and the parent's contact details are made available to Inspired employees so they can follow up directly.

In addition we may also share your personal information with third parties such as:

• our professional advisers or third parties and their advisers in the event of a possible or actual sale, merger or other restructuring or financing of the Inspired group; or
• where requested or required by regulators or statutory / other competent authorities.

Where data is transferred internationally (ie outside the UK and/or EEA), we will put in place appropriate measures to ensure the adequate protection of your personal data when it is transferred to countries that do not provide the same level of protection for personal data, and ensure that international transfers are carried out in accordance with applicable data protection law.

Your personal information, including voice recordings and text discussions disclosed through the use of the Platform, will only be retained for the period of time required to fulfil the purpose for which it was collected unless a longer time is required to meet regulatory or legal requirements or for archiving / research and statistical purposes. In such cases of longer term archiving, research and statistical processing, we will put in place suitable data minimisation procedures. This will include removing the data from day-to-day processing and putting in place appropriate access restrictions.

In relation to the AI tools within the Platform:

• Cycle Test: Student test responses and AI-generated marks are retained for the duration of the pupil's enrolment at the relevant Inspired school and are then deleted or anonymised in accordance with the school's data retention schedule.
• Lesson Planner: Lesson plans and associated resources generated by teachers are retained for the duration of the teacher's employment or engagement with the relevant Inspired school and are then deleted in accordance with our staff data retention schedule.
• Parent Helper: Query logs (including the content of questions submitted and any personal data included in them) are retained until the end of the current academic year during which the query is submitted, following which they are deleted or anonymised.

The Platform includes tools that use artificial intelligence ("AI") to support teaching, learning and parent communications. This section explains each AI tool, the circumstances in which it may process personal data, and the safeguards in place. Cycle Test and Lesson Planner are not designed to process personal data. However, personal data may be processed incidentally if included in user prompts or in the materials from which these tools draw information. Any personal data processed through these tools is processed in accordance with this Privacy Notice.

5.1 Cycle Test (AI Test Generator and Marker)

What it does: Cycle Test is available to teachers within the Platform. Teachers use Cycle Test to generate test questions on specific topics for their classes. The tool is trained on the relevant national curriculum and generates age-appropriate questions for each year group. When a pupil completes a test, the AI marks the pupil's responses. Cycle Test is used for assessment during the school term (for example, to track progress and contribute to internal school grades). It is not used for formal or national examinations (such as GCSEs or their equivalents). AI generated tests must be reviewed and approved by the teacher before they can be submitted to students. For quality assurance purposes, (and to ensure marking accuracy), all AI marking must be reviewed and confirmed by the teacher before being shared with the relevant student.

Personal data that may be processed:

• Pupils: The tool is not designed to process personal data about pupils. However, personal data may be processed incidentally if included in test responses submitted by pupils.
• Teachers: The tool is not designed to process personal data about teachers. However, personal data may be processed incidentally if included in the test prompts or parameters set by teachers.

Human oversight: AI-generated marks are always reviewed and confirmed by the pupil's teacher before they are shared with the pupil or used for any purpose. No mark produced by the AI is released to pupils or recorded without teacher approval.

Lawful basis: It is necessary for our legitimate interests in providing effective formative assessment tools that support teaching and learning.

5.2 Lesson Planner (AI Lesson Plan Generator)

What it does: Lesson Planner is available to teachers within the Platform. Teachers use Lesson Planner to generate lesson plans for specific year groups, aligned to the relevant national curriculum. The tool also generates accompanying teaching resources such as worksheets, activities and discussion materials. It draws on Inspired's image library, Inspired's Canvas content and uses OpenAI's ChatGPT service to assist in content generation. AI generated lesson plans must be reviewed and approved by the teacher before they can be published.

Personal data that may be processed:

• Teachers: The tool is not designed to process personal data. However, personal data may be processed incidentally if included in prompts entered by teachers or in the materials from which the tool draws information (such as Canvas content or Inspired's image library).

The Lesson Planner is not designed to process pupil or parent personal data. However, such data may be processed incidentally if it is contained in the materials from which the tool draws information.

Human oversight: All lesson plans and resources generated by the tool must be reviewed and edited by the teacher before they are shared with pupils. Teachers are responsible for checking the accuracy and suitability of all AI-generated content.

Lawful basis: It is necessary for our legitimate interests in enabling our staff to prepare and deliver educational programmes efficiently and effectively.

5.3 Parent Helper (AI Chatbot)

What it does: Parent Helper is a chatbot available to parents and carers via the Platform. It is designed to answer frequently asked questions, such as queries about fee payment dates, exam result publication dates, school term dates and login assistance for the parent portal. To provide answers, Parent Helper searches information held in school-based systems, school websites, the Platform and Finance Hub.

Personal data processed:

• Parents / carers: Names, contact information and the content of queries submitted to the chatbot. If the chatbot is unable to resolve your question, your query and contact details will be passed to an Inspired employee who will follow up with you directly.

Human oversight: Where the chatbot cannot resolve a query, it is escalated to an Inspired employee for manual review and response.

Lawful basis: It is necessary for the performance of the parent contract to which you are a party and/or it is necessary for our legitimate interests in providing parents and carers with efficient access to school information and support.

5.4 Automated decision-making

None of the AI tools described above are used for solely automated decision-making (i.e. to make decisions about individuals that produce legal effects or similarly significant effects without any human involvement). Cycle Test produces AI-generated marks, but these are always reviewed and approved by a teacher before they are shared with pupils or recorded. Teachers, not the AI, make the final assessment decisions.

5.5 Data minimisation when using AI tools

When interacting with AI tools on the Platform, all users should only input personal data that is necessary for the purpose at hand. In particular:

• Parents and carers using Parent Helper should avoid including unnecessary personal data in their questions.
• Teachers using Cycle Test or Lesson Planner should ensure that test prompts and lesson plan parameters do not include personal data about individual pupils beyond what is required for the tool to function.

You have a number of rights in relation to your personal data. These are:

• The right of access: You may request a copy of the personal data that we hold about you.
• The right to rectification: You may ask us to correct any information we hold about you if it is incorrect.
• The right to erasure: You may ask us (in certain circumstances) to delete information that we hold on you.
• The right to restrict processing: You may ask us to restrict our data processing activities (and, where our processing is based on your consent, you may withdraw that consent, without affecting the lawfulness of our processing based on consent before its withdrawal).
• The right to data portability: You may ask us (in certain circumstances) to transfer your personal data to another data controller in a format that makes it easy for them to use.
• The right to object: You may object, on grounds relating to your particular situation, to any of our particular processing activities where you feel this has a disproportionate impact on your rights.

Please note that the above rights are not absolute, and we may be entitled to refuse requests where exceptions apply. We will endeavour to respond to any such requests as soon as reasonably practicable and in any event within legal time limits.
